To design, build, and implement a future-proof productivity system, you need to follow six sequential steps.

Each step builds upon the previous one, ensuring your productivity system is not only effective but also sustainable.

Let’s dive into each step one by one.

By following these six steps, you’ll not only build a productivity system that works for you but one that adapts as your needs grow.

1. Analyze Your Current Situation

Understanding where you are is the critical first step—it defines your “A position.”

Knowing your starting point allows you to plot a clear path to your destination, your “B position.”

Without clarity on where you currently stand, it’s nearly impossible to identify your strengths, weaknesses, struggles, or areas for improvement.

Often, people mistake a productivity system for the tools they use daily—the apps and software that, more often than not, leave them feeling overwhelmed. But let me clarify: a productivity system is not the tools.

The tools are merely a means to an end, the visible layer of your productivity system.

The real power lies beneath, in the concepts and workflows you use to manage the two core worlds of productivity: information and action.

So, what is a productivity system?

A productivity system is the foundation of concepts and workflows that helps you manage:

  1. Information: How you collect, organize, store, and take the best out of knowledge.

  2. Action: How you prioritize, execute, and complete tasks to achieve your goals.

Once you’ve established this foundation, you can then choose the tools that best align with these workflows and concepts.

How to Analyze Your Current Situation

To be pragmatic and clearly define your starting point, I recommend an exercise using a tool we’ve created at the Paperless Movement®: the ICOR® Framework.

Splitting your reality into the four main areas (Personal, Business, Knowledge, and Project Management) has given you clarity, but now it’s time to take that structure to the next level.

This is where The Capturing Beast comes into play—another powerful workflow from ICOR®, the methodology we’ve created at the Paperless Movement® to help busy professionals design, build, and implement a future-proof productivity system.

While it might sound like it’s just about capturing information, The Capturing Beast is so much more. It’s a comprehensive mental model for attention that helps you prioritize and organize your life with three distinct layers:

  1. Current Projects. These are your active projects, the ones directly tied to achieving your goals. They demand your immediate attention because progress here directly impacts your success (goal achieving).

  2. Key Elements. These are the core pillars of your life—aspects like your health, relationships, or business. These are crucial to maintain and nurture, as neglecting them can cause everything else to crumble. Key Elements ensure your foundation is strong and stable.

File System

With this structure, you can create folders for your Projects, Key Elements, and Topics.

Now, it’s straightforward to store files and find them later without searching aimlessly.

PKM (Personal Knowledge Management)

In my own PKM system, I use tools like Tana, Heptabase, Mymind, and Day One to organize my thoughts, ideas, and resources.

Using the Capturing Beast approach, I categorize everything into Buckets (an ICOR® concept) for Current Projects, Key Elements, and Topics.

Depending on the tool, these Buckets could be folders, tags, whiteboards, or any other structure the tool offers.

This is the true power of concepts and workflows.

Once you’ve internalized them, you can implement them in countless ways, adapting them to any tool you’re using.

The beauty of this approach is that it gives you flexibility and control—allowing you to make the tool fit your needs, not the other way around.

Your productivity system becomes tool-agnostic, meaning you’re no longer bound by the limitations of any specific tool or app.

Instead, the tools you choose become mere implementations of your productivity system, seamlessly supporting the concepts, workflows, and structures you’ve previously defined and created.

This consistent approach also ensures that no matter which tool I’m using, I see and interact with it in the same way, as the structure I find in any tool is exactly the same.

Your mental energy is conserved, and your workflows become almost automatic:

  • Capture

  • Store

  • Retrieve

  • Connect

3. Define How to Manage Information

This year, it’s time to make the most out of your information.

The information you consume defines who you are—and, more importantly, who you’ll become. But information alone isn’t enough.

To create meaningful results, you must force information into action because it’s action that drives outcomes.

Stop Capturing for the Sake of Capturing

No more hoarding information for the sake of it.

Instead, be intentional with what you capture. Treat information as a tool, not an end in itself.

Every piece of information you save should have a purpose:

  • It should support Current Projects directly linked to your goals, improve Key Elements, or add real value to any of your Topics.

  • It should be useful and connected to a specific task that pushes you forward.

This is where the My Life concept becomes crucial again. It narrows your focus by guiding your attention to what matters most: Current Projects, Key Elements, and Topics.

From Noise to Signal

Focusing on your Current Projects reduces distractions.

Capture only information that resonates with them—this eliminates noise and sharpens your signal.

Every time you process new information, ask yourself:

  • What action can I take with this?

  • How does it help me move the needle on my goals today?

This approach ensures you’re constantly progressing, step by step, day by day.

Apply the Same Principle to Key Elements and Topics

For your Key Elements, the process is similar.

Capture information that helps you strengthen and maintain these crucial aspects of your life.

For example, if health is a Key Element, only collect information that supports your personal well-being—like workout routines or meal planning strategies—and use it to take real, actionable steps.

When it comes to Topics, be mindful of how you manage your attention.

Topics are areas of interest that help you grow or deepen your knowledge, like exploring new hobbies, learning about marketing, or improving decision-making.

But here’s the key:

  • Limit your focus to three Topics at a time.

  • Review and adjust your Topics on a regular basis—whether monthly, quarterly, or yearly.

This focused approach prevents overwhelm and helps you achieve real progress.

For instance, if one of your Topics this quarter is learning CRM (Customer Relationship Management) tools, commit to it fully. Seek resources, process the information, and implement what you’ve learned to produce tangible results.

What About Other Topics?

It’s not about ignoring Topics outside your current focus—you can still store information related to them.

The idea is to avoid dedicating time or energy to those until their turn comes.

Keep them on standby, quickly adding them to any of your Buckets, while you channel your efforts into the three main Topics you’ve chosen for the current period.

From Information to Action

Once you’ve captured and distilled the right information, you’ll find yourself with a clear list of actions.

These are the tasks that need to be planned, executed, and completed to move your projects forward and accomplish your goals.

At this stage, you’re ready to transition into becoming an action machine—someone who can:

  • Plan effectively.

  • Execute consistently.

  • Complete tasks with focus and efficiency.

This is where the next step comes in: turning your well-organized information into an actionable system that drives results.

4. Define How to Manage Action

The world of action requires as much structure as the world of information, which is why the ICOR® methodology introduces Output Elements—containers that organize and define the only actionable items in ICOR®: tasks.

These Output Elements give clarity and purpose to every task you take on.

Here are the four Output Elements in ICOR®:

  1. Goals. Goals provide a stable direction or target. They’re the bigger picture of what you want to achieve and guide all other actions in your productivity system.

  2. Projects. Projects encapsulate one-time activities with a clear start and end date, leading to a specific outcome. For example, designing a product is a project because it concludes with the final design: the design of the product.

  3. Workstreams. Workstreams are for ongoing, repetitive tasks that require sequential execution. For instance, content creation—such as producing YouTube videos or articles—fits here, as each cycle follows the exact same steps repeatedly.

  4. Operations. Operations capture tasks that fall outside the scope of Projects and Workstreams. These include administrative duties or unique, one-off activities, like creating a custom asset or submitting invoices.

Once you’ve structured your actionable tasks within these Output Elements, you’ve created the foundation for what we call your Output System.

Now, it’s time to unleash the Execution Beast—another ICOR® workflow designed to guarantee you complete all the tasks needed to achieve your goals.

The Execution Beast is built around PEA (Plan, Execute, Align), a workflow that ensures you’re not just busy (Paperless Movement® members know they can be busy “the right way”), but truly productive:

  • Your specific needs—the areas you need to cover.

  • The purpose behind each tool and workflow in your productivity system.

Satellite Apps are secondary tools that complement your Core Apps by addressing specific needs or reducing friction. These apps:

  • Enhance your productivity system by performing focused tasks like capturing quick ideas, automating workflows, or linking different tools together.

  • Are easily swappable, as they aren’t integral to your core structure.

3. Intermediate Tools

These tools act as bridges in your productivity system. You use them temporarily when your Core Apps aren’t accessible or effective for a specific task. Intermediate tools:

  • Offer a streamlined experience for capturing or processing information quickly.

  • Are meant for short-term use, with information later transferred into your SSOT for long-term organization and management.
